The Administrative Assistant performs usual duties assigned to a receptionist and assists the Staff Accountant. Typical responsibilities include:

QUALIFICATIONS

•High school diploma.
•Secretary technical training / Administrative Technician.
•Minimum 1 year of experience.
•Proficient with MS Word, Excel and Outlook.
•Advanced spreadsheet proficiency.
•High degree of accuracy.
•Must assume responsibility for timeliness of work completion and perform to meet strict deadlines.
•Ability to work independently and with minimal supervision.
•Must have effective communication (verbal, written and listening) skills in Spanish and English.

 

RESPONSIBILITIES

  • Supports Staff Accountant producing digital invoices, billing support and other administrative issues.
  • Preparation of INS and CCSS Forms monthly.
  • Reception and telephone answering.
  • Schedules client and staff meetings.
  • Schedules and coordinates the travel arrangements for staff using company vendors to find discounts whenever possible.
  • Creates and processes a variety of administrative records using internal and external databases.
  • Plans on- and off-site events and conferences including equipment, catering, and accommodations.
  • Responds to inquiries regarding department services, policies, and procedures.
  • Manages office supplies.
  • Supports preparation of all kinds of documents and work proposals, use of SICOP platform.
  • Performs other duties and responsibilities as assigned including support in translation of documents English – Spanish / Spanish – English.
